Using Webflow Client Billing for Projects

May 15, 2024

To use Webflow Client Billing effectively for your web design projects, follow these steps to streamline invoicing and track project financials effortlessly.

Setting Up Client Billing: First, ensure your Webflow account is ready for Client Billing. Log in to your account and navigate to your project dashboard. Select the project you want to set up and go to the project settings. Look for the Billing tab and click on it to find the Client Billing option. Turn on this feature by toggling the switch.

Adding Clients: After enabling Client Billing, add your clients to the project. In the Billing tab of the project settings, you will find the option to manage clients. Click on Add Client and fill in the client's details, including their name, email address, and billing address. This information is used to create invoices and send payment requests directly to clients.

Creating Invoices: Once your clients are added, start creating invoices for your services. Return to the project dashboard and click on Invoices in the left menu. Select New Invoice to create one. Choose the client you want to invoice from the drop-down list and input the invoice details, such as services provided, rates, quantities, and taxes if applicable. Webflow will automatically calculate the total based on your input. Add a service description for clarity.

Sending Invoices: After creating an invoice, review it for accuracy before sending it to your client. Click the Send Invoice button to email it directly to the client's email address. Consider including a short message, thanking the client for their business and specifying the payment due date.

Tracking Payments: Webflow Client Billing lets you track invoices that are paid, pending, or overdue. After sending an invoice, return to the Invoices section in your dashboard to monitor its status. If a client has paid, mark the invoice as paid by selecting the Mark as Paid option on the specific invoice.

Managing Client Accounts: Use Client Billing to maintain ongoing relationships with clients. In the clients section of the Billing tab, update client information as needed. For ongoing projects, set up retainer agreements and recurring invoicing to automate billing and ensure consistent cash flow.

Viewing Financial Reports: Webflow provides financial insights into your billing activities. Access financial reports under the billing section, which summarize incoming payments and outstanding invoices. Use this data to gauge business performance and inform future projects or financial planning.

These steps will help you manage design projects efficiently, offering a professional client experience while keeping finances organized. By mastering these processes, you enhance your workflow and strengthen client relationships.
