Managing Webflow Client Accounts and Permissions

Step 1: Setting Up Client Accounts

To begin, if your client does not have a Webflow account, you will need to create one for them. Log into your Webflow Dashboard with your credentials. Select the specific project you wish to manage by clicking on its name. Once inside the project, click on the settings icon located in the upper right corner to access the Project Settings. Navigate to the Team tab where you will manage user accounts and permissions. Click the button that says Invite Team Member or Invite User. Enter your client’s email address and choose the appropriate role from the drop-down menu, such as Editor, Designer, or Manager. Finally, send the invitation by clicking the Send Invite button. Your client will receive an email invitation to join the project.

Step 2: Understanding User Roles

Webflow provides different user roles with varying access levels. It is important to understand these roles for effective permissions management. The Guest role allows clients or stakeholders to view content without editing capabilities. The Editor role permits changes to website content, like text updates and image uploads, but blocks access to design tools and back-end settings. The Designer role allows full access to design features and modifications to the website’s structure and styling, which may be suitable for clients involved in design decisions. The Manager role offers comprehensive control over project settings, including user management and billing, and is typically reserved for project leads or trusted clients.

Step 3: Customizing Permissions

To customize user permissions, navigate to the Team tab in your project settings. You will see a list of all users invited to the project. Edit user roles by selecting the role drop-down menu next to each user’s name and choosing the appropriate level of access. If a user no longer requires access, you can revoke it by clicking Remove or Revoke Access next to their name. Ensure you save any changes to user roles or permissions so they take effect.

Step 4: Communicating with Clients

Effective communication is crucial for collaboration in Webflow projects. Use Webflow's commenting feature in Designer or Editor mode to allow clients to leave feedback or ask questions directly on the project. Schedule regular check-ins to discuss project progress and gather feedback. Offer clients training or resources to help them understand how to navigate Webflow, specifically the Editor features. Stay responsive to client messages or questions to build trust and ensure they feel supported.

Step 5: Maintaining Project Integrity and Security

Maintaining project integrity and security is essential throughout the collaboration. Regularly review the user list to ensure only necessary individuals have access to the project, removing any users no longer involved. Educate clients about security practices, including using secure passwords and not sharing login credentials. Monitor changes made by users to track collaborative efforts effectively.
