Managing Admin Access and Ownership in Webflow Enterprise

May 27, 2024

Understanding Roles in Webflow Enterprise

In Webflow Enterprise, roles are crucial for managing access and responsibilities. The Site Owner is the primary account holder with full control over project settings, user management, and billing. Admins can manage projects, invite team members, and edit content across programs. Designers can edit and publish site content but don’t have access to user management features. Viewers can access project content but cannot make edits.

Step-by-Step Guide to Managing Admin Access

1. Log Into Your Webflow Account
Log into your Webflow Enterprise account. Ensure you have owner or admin privileges to make changes to user roles.

2. Access the Team Settings
Navigate to your project dashboard. Find the gear or profile icon for settings and click it. Look for the "Team" or "Team Settings" option where you can manage user roles.

3. Review Current Users
In team settings, see a list of all team members associated with your account. Their current roles will be displayed next to their email addresses. You will also see any pending invitations for new members.

4. Modify User Roles
To change a user's role, locate the member in question. Click the drop-down next to their current role and select the new role you want to assign, such as upgrading a user from Designer to Admin.

5. Add New Team Members
To add a new user, find the "Invite Team Member" button. Enter the email address of the new team member, choose the appropriate role (Admin, Designer, Viewer), and send the invitation. The user will receive an email with instructions to join the project.

6. Remove Access for Users
If a user needs to be removed, locate their name in the list in team settings. Click the "Remove" button next to their name and confirm the removal to revoke their access immediately.

7. Set Project Ownership
To transfer project ownership, ensure the new owner is already a team member. In team settings, find the project’s ownership settings, select the new owner's name, and confirm the transfer. The previous owner retains their admin role, but the new owner manages billing and project oversight.

Best Practices
Regularly review team roles and permissions to grant only necessary access. Assign the viewer role for members who need oversight without editing capabilities. Communicate changes to team members to prevent confusion. Document user access changes for compliance and security purposes.

By managing admin access and ownership effectively in Webflow Enterprise, you enhance collaboration and protect sensitive project information. Follow these steps to navigate user roles, add or remove team members, and maintain appropriate access levels. Prioritize access management to build a strong foundation for your web design and management work.
